HubSpot vs. Dynamics 365: which CRM fits your business?

An honest comparison of two platforms we know from the inside. With the differences that really matter in practice, and a decision guide to help you make the right choice.

Short answer

Choose HubSpot if you want a user-friendly CRM that goes live quickly, with strong marketing automation and a team that wants to make changes itself. It fits SMBs and scale-ups with a clear inbound or sales process best.

Choose Microsoft Dynamics 365 if you are already deep into Microsoft (Outlook, Teams, Business Central or Finance & Operations), have complex processes with many branches, roles or custom requirements, and have a partner or in-house IT to build it.

The licence price is rarely the deciding factor. The real difference lies in implementation, administration and how well the system fits your process.

The differences at a glance

Both platforms cover sales, marketing and service. Yet they are built on very different philosophies. HubSpot started as a marketing platform and grew into a complete CRM centred on ease of use. Dynamics 365 is part of the Microsoft ecosystem and is all about flexibility and integration with the rest of your operations.

When HubSpot is the best choice

HubSpot shines when you want results quickly and your team wants to manage the system itself. Everything lives in one platform with one database: contacts, emails, deals, tickets and reports. That gives you a complete view of the customer without large integration projects.

  • Marketing and sales need to work together. Lead scoring, lifecycle stages, forms, email campaigns and the hand-off to sales work together out of the box. Exactly what RevOps is about.
  • Ease of use comes first. Adoption is the biggest success factor of any CRM. HubSpot is intuitive, so sales reps use it sooner and more often.
  • You want to make changes yourself. A good HubSpot admin builds workflows, properties and dashboards without a developer.
  • Your process is fairly standard. A B2B funnel from lead to customer fits well. The more exceptions you have, the more often you hit the limits.

Note: the price rises as you grow. More seats, more marketing contacts and the step from Professional to Enterprise make HubSpot more expensive for larger teams than it first appears.

When Dynamics 365 is the best choice

Dynamics 365 is at its strongest in organisations that already run on Microsoft and have processes that don't fit a standard package. The data model (Dataverse) is fully customisable, and with Power Platform you build your own apps, automations and reports on top of the same data.

  • You already work with Microsoft. Customer data in Outlook and Teams, reporting in Power BI and a connection to Business Central or Finance & Operations without expensive middleware.
  • You have complex structures. Multiple branches, brands or countries, with different roles and permissions per team.
  • Your process is unique. Think of dealers, leasing companies or wholesalers with their own objects, such as vehicles, contracts or parts.
  • You have strict security and governance requirements. Roles, business units and auditing can be configured in great detail.

Note: that flexibility demands strong design and administration. Without a clear design, a Dynamics environment quickly becomes a system only its builder understands.

Costs: the licence is the smallest part

For a full sales licence, both platforms are in the same ballpark per user. Always check the current price lists from HubSpot and Microsoft, as both adjust prices and bundles regularly. What really drives the total cost of ownership:

  • Implementation. HubSpot needs less customisation and therefore fewer hours, although HubSpot charges a mandatory onboarding fee for Professional and Enterprise. Dynamics 365 is almost always configured by a partner, which takes more hours.
  • Administration. HubSpot can often be run by one internal admin. Dynamics 365 usually needs a functional administrator plus technical Power Platform knowledge.
  • Marketing. With HubSpot you pay for marketing contacts. Dynamics 365 Customer Insights has a separate licence for marketing.
  • What you already have. If you already have Microsoft 365 licences and Power BI, part of the Dynamics cost disappears. If you work with Google Workspace, HubSpot is a more natural fit.

Implementation and timelines

From our experience, as an indication:

  • HubSpot: a solid baseline for sales and marketing is often live within 4 to 12 weeks. An Enterprise environment for several business units with quotes, service and integrations is more likely 3 to 6 months.
  • Dynamics 365: expect 3 to 9 months for a first release, depending on the number of branches, integrations and the amount of customisation. Larger roll-outs usually follow in phases.

For both: work in short sprints, start with the process rather than the system, and deliver something users can work with early. That is the core of our approach.

AI: Breeze vs. Copilot

Both vendors are investing heavily in AI. HubSpot Breeze is built into the platform: from call summaries and email drafts to agents that research prospects or answer customer questions. Microsoft Copilot works in Dynamics 365 as well as in Outlook, Teams and Word, bringing customer data into your team's daily work.

Our advice: don't choose a platform for its AI features alone. They change every quarter, and the value of AI depends mostly on the quality of your data and processes. What we see in practice

We have delivered large implementations on both platforms:

  • Dynamics 365 at Hedin Automotive. One CRM for 7 clusters and 65 branches, with one lead process. Lead follow-up time dropped from 8 hours to 1 hour. Dynamics was the right choice here because of the complex organisational structure and the Microsoft environment. View the case.
  • HubSpot Enterprise at Vinacles. Three companies on one commercial platform, with CRM, marketing automation, sales, service and quotes. HubSpot won on speed, ease of use and the strong link between marketing and sales. View the case.

The common thread: projects rarely fail because of the platform, but because of an unclear process, poor data or too little attention to adoption.

Decision guide: 7 questions to choose

  1. Which systems do you already use? Lots of Microsoft (ERP, Teams, Power BI)? That points to Dynamics 365.
  2. How important is marketing automation? If inbound marketing drives your growth, HubSpot has the edge.
  3. How standard is your process? The more custom objects and exceptions, the better Dynamics 365 fits.
  4. Who will manage it? One enthusiastic admin without an IT background? Then HubSpot. An IT team or a dedicated partner? Then both are possible.
  5. How fast do you want to go live? Results within a quarter are easier to achieve with HubSpot.
  6. How large and complex is your organisation? Many branches, countries and permission structures fit Dynamics 365 better.
  7. What are the costs over 3 years? Add up licences, implementation, administration and growth, not just year one.

Frequently asked questions

Is HubSpot or Dynamics 365 cheaper?

Per user, licences for a full sales CRM are in the same ballpark. HubSpot is usually cheaper to implement and administer. Dynamics 365 can work out cheaper if you already have Microsoft licences and need a lot of customisation that HubSpot can't accommodate.

Can you migrate from Dynamics 365 to HubSpot, or the other way round?

Yes. A migration requires good data mapping, cleaning up old data and redesigning your processes. See it as a chance to remove unnecessary fields and workflows, not as a one-to-one copy.

Can you combine HubSpot and Dynamics 365?

You can, for example HubSpot for marketing and Dynamics 365 for sales, via the official connector or an integration platform. It works, but you then manage two systems and need clear agreements on which system is the source of truth.

Which CRM is better for small and medium-sized businesses?

For most SMBs HubSpot is the more logical choice: faster to go live, easier to use and manageable in-house. The exception: SMBs that already run Business Central and need a tight link between CRM and ERP.

Are HubSpot and Dynamics 365 GDPR compliant?

Both offer data storage in the EU and data processing agreements. Whether you are GDPR compliant depends mostly on your own setup: what data you store, for how long, and who has access.

How long does a CRM implementation take?

A HubSpot baseline is often live within 4 to 12 weeks. A Dynamics 365 implementation usually takes 3 to 9 months for the first release. Phasing and short sprints mean you see results sooner.
